Job description

Job Overview:

We are seeking a proactive and tech-savvy Administrative Assistant with a focus on IT support to join our team. In this hybrid role, you will act as the first point of contact for internal IT issues, provide first-level support, manage coordination with external IT service providers, and oversee the IT inventory and supplier management. You will also play a key role in onboarding new employees with IT systems and tools.

Key Responsibilities:

IT Support & Coordination

  • Serve as the first contact for internal IT-related issues (hardware, software, user access, etc.)
  • Provide first-level technical support and escalate complex issues to external IT providers as needed
  • Coordinate and follow up with external IT support providers to ensure timely resolution of issues
  • Maintain and update IT troubleshooting documentation for employees

IT Asset & Supplier Management

  • Monitor, maintain, and manage IT inventory (laptops, monitors, accessories, licenses, etc.)
  • Handle procurement of IT equipment and software licenses in collaboration with suppliers
  • Maintain accurate records of IT assets and software usage for compliance and budgeting

IT Onboarding & User Management

  • Set up and configure IT workstations, email accounts, and system access for new employees
  • Support onboarding processes by introducing IT systems and tools to new hires
  • Coordinate user account management (creation, updates, terminations)

Administrative Support

  • Assist in organizing IT-related documentation, contracts, and vendor agreements
  • Support the administrative functions of the IT department (e.g., tracking IT spend, scheduling vendor visits)
  • Provide general administrative support to the office as needed

Profile

Requirements:

  • Previous experience in an administrative support or IT support role preferred
  • Strong organizational and coordination skills
  • Basic knowledge of IT systems (Windows, Office 365, networking concepts)
  • Experience with ticketing/helpdesk systems is a plus
  • Ability to communicate technical issues clearly to non-technical users
  • Fluent in English, written and verbal, any other language is a plus
  • Proactive, solution-oriented mindset with attention to detail
